Personal Data Protection Notice
How Melawati Juniors Football Academy collects, uses and protects the personal data of trainees and their parents or guardians.
Last updated: September 2026
This notice is issued by Melawati Juniors Football Academy (MJFA), operated by MJFA Ventures, under the Personal Data Protection Act 2010 ("PDPA"). It explains what personal data we collect about trainees and their parents or guardians, why we collect it, who we share it with, and the rights you have over it.
Because our trainees are children, the parent or guardian provides the personal data and gives consent on the child's behalf.
1. What we collect
About the trainee: full name, MYKID or passport number, nationality, date of birth, age, gender, school, race, height, weight, home address and age category.
About the parent or guardian: full name, MYKAD number, occupation, phone number and email address.
About participation and payment: the package chosen, membership type, fees due and paid, kit orders and sizes, and payment status.
We collect this data directly from you, through the forms on this website or when you give it to us in person or by WhatsApp.
2. Why we collect it
- To register the trainee and place them in the correct age group
- To contact you about training, sessions and academy matters
- To issue and record fee payments, membership and kit orders
- To reach you in an emergency
- To enter trainees into matches, leagues or tournaments where applicable
- To keep the academy's own operational and accounting records
3. Whether you have to provide it
The fields marked as required on our forms are obligatory. Without them we cannot verify the trainee's age group, register the trainee, or record a payment, and the registration cannot go ahead.
Permission to use photographs and video is separate and is dealt with in section 7.
4. Who we may share it with
- Our coaches and administrative staff
- Google LLC, whose Google Sheets and Google Workspace services we use to store records and send internal notifications
- WhatsApp, operated by Meta Platforms, when you send us receipts or messages
- Football associations, leagues and tournament organisers, where a trainee takes part
- Insurers, where cover applies
- Any party we are required to disclose to by law, or by an order of a court or regulator
We do not sell personal data, and we do not pass it to anyone else for their marketing.
5. Transfer outside Malaysia
Some of the services named above store data on servers outside Malaysia. By giving us your personal data you consent to it being transferred and stored outside Malaysia for the purposes set out in this notice.
6. How long we keep it
We keep registration and payment records for as long as the trainee is with the academy and for seven years afterwards, which is the period we are required to keep financial records. Once these periods end the data is deleted.
If a registration does not proceed, we delete the data within twelve months.
7. Photographs and video
We ask separately for permission to use photographs and video of your child for promotional and social media purposes. You may withdraw that permission at any time using the contact details below, and we will stop using new images of your child. Material already published may take time to remove, and we cannot recall copies others have already shared.
8. Your rights
Under the PDPA you may ask us to:
- give you access to the personal data we hold about you or your child
- correct it, if it is inaccurate, incomplete or out of date
- limit how we process it, or withdraw a consent you have given
- stop using it to send you marketing
Contact us using the details in section 10. We may need to confirm who you are before we act on a request. Withdrawing consent for data we need in order to run the programme may mean the trainee can no longer take part.
9. How we keep it safe
Records are held in access-controlled accounts available only to the staff who need them. Data sent from this website travels over an encrypted connection. We review who has access from time to time and remove access that is no longer needed.
